Privacy · How we handle your data

Your details, kept simple.

Who we are

Farm Kitchen, 67 Palmerston Road, Southsea, PO5 3PP is the data controller for personal information collected through this website. You can reach us on 023 9286 2666 or in person at the restaurant.

What we collect and why

Table bookings — your first and last name, phone number, email address and any notes you add (for example allergies). We use these to hold your table, contact you about your reservation, and email your confirmation, a reminder the day before, and any changes or cancellation. Your booking reference and last name let you find and change your booking online; your confirmation also includes a private link to do the same. The lawful basis is performance of a contract (Article 6(1)(b) UK GDPR). If your notes include allergy or dietary information you choose to share, we use it only to prepare for your visit.

Occasion enquiries — your name, email, optional phone number and message, used solely to reply to your enquiry (legitimate interest, Article 6(1)(f)).

We do not use your details for marketing, we do not sell or share them with advertisers, and this site sets no tracking or analytics cookies. The only cookie used is a strictly necessary session cookie for restaurant staff signing in to the booking dashboard.

Who processes your data

Bookings are stored with Supabase (our database provider) and this website is hosted on our hosting provider’s infrastructure. Confirmation and enquiry emails are delivered by Resend; both act as processors on our behalf under data-processing agreements. Booking details (name, party size, time, phone, email and notes) are also copied to a private Google Calendar that only our managers can view, so they can see the day’s bookings; it is never made public.

How long we keep it

Reservation records are kept for up to 12 months after your visit so we can handle follow-up queries, then deleted. Cancelled bookings are kept for the same period for our records. Enquiry emails are retained in our inbox only as long as needed to deal with your request.

Your rights

Under UK GDPR you can ask us for a copy of the personal data we hold about you, ask us to correct it, or ask us to delete it — for a booking, just call us and we will remove it. You also have the right to complain to the Information Commissioner’s Office (ico.org.uk) if you are unhappy with how we handle your data.
